Hospice Services of Lake County is seeking a highly organized, professional, and detail\-oriented **Administrative Specialist** to provide administrative support to our agency and oversee day\-to\-day office operations. This position requires exceptional confidentiality, attention to detail, strong customer service skills, and the ability to manage multiple priorities in a fast\-paced healthcare environment.

**Key Responsibilities**
* Serve as the primary point of contact for incoming calls and visitors.
* Prepare correspondence, forms, reports, labels, and other business documents.
* Coordinate shipping, certified mail, and package deliveries.
* Order and maintain inventory of office and agency supplies.
* Maintain confidential employee, volunteer, and patient records.
* Perform data entry and administrative support functions in electronic medical records platform and accounting program QuickBooks.
* Assist with Board of Directors and Finance Committee meeting preparation.
* Support agency meetings, trainings, and special events.
* Coordinate meeting logistics, materials, and room setup.
* Perform other administrative duties as assigned.
**Required Qualifications**
* High school diploma or equivalent. College work or degree preferred.
* Strong proficiency with Microsoft Office, including Word, Excel, and Outlook.
* Excellent verbal and written communication skills.
* Strong organizational skills and attention to detail.
* Ability to manage multiple competing priorities and deadlines.
* Ability to maintain strict confidentiality and professionalism.
* Reliable attendance and strong customer service skills.
**Strongly Preferred Qualifications**
* Previous administrative experience in a **medical office, healthcare organization, legal office, or accounting environment**.
* Experience handling confidential records and sensitive information.
* Experience coordinating meetings, events, or board\-related activities.
* Familiarity with healthcare, nonprofit, or professional services operations.
* Experience with data entry, records management, and multi\-line phone systems.
**Physical Requirements**
* Frequent sitting, standing, walking, computer use, and telephone communication.
* Ability to lift up to 25 pounds regularly and up to 50 pounds as needed for meeting and event setup.
* Ability to assist with moving office supplies, tables, chairs, and equipment.
