Job Description
**Overview**
We are seeking a highly organized and detail\-oriented Administrative Specialist to join our team. We are a small, family\-owned cremation business dedicated to providing compassionate, respectful service to the families we serve. This pivotal role requires a proactive individual with exceptional multitasking abilities, strong communication skills, and a commitment to accuracy. As an Administrative Specialist, you will be the backbone of our office operations, ensuring smooth daily functions, managing complex schedules, and providing outstanding support to staff and clients alike.
**Responsibilities**
* Operate multi\-line phone systems, handle incoming calls with excellent phone etiquette, and route messages efficiently
* Prepare and process death certificates with accuracy
* Communicate **with physicians and medical offices** to obtain required information
* Maintain accurate records through data entry, filing, proofreading, and updating databases using Microsoft Office and Google Workspace tools
* Oversee calendar management for executives and team members, scheduling appointments, meetings, and events with precision
* Provide exceptional customer service by addressing inquiries promptly and supporting client needs via phone or email
* Assist with office management tasks including supply inventory, equipment maintenance, and general clerical duties
* Perform administrative tasks such as proofreading documents, organizing files, and managing correspondence to ensure clarity and professionalism
**Qualifications**
* Proven experience in office management or administrative roles with a focus on detail\-oriented tasks
* Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and data entry skills
* Excellent organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment
* Prior experience as a receptionist or personal assistant is preferred, especially in medical or dental settings
* Demonstrated ability to handle confidential information with discretion and professionalism
* Strong typing skills along with attention to accuracy in proofreading documents and correspondence
* Exceptional time management skills to coordinate multiple responsibilities efficiently
* **Notary Public** (or willingness to obtain—we will cover the cost)
Pay: $20\.00 \- $23\.00 per hour
