Job Description

**Overview** We are seeking a dynamic technology savvy and highly organized Executive Assistant to join our team and support our leadership with efficiency and professionalism. This role is vital in ensuring smooth daily operations, managing schedules, coordinating communications, and handling a variety of administrative tasks with precision. The ideal candidate will be proactive, detail\-oriented, and possess excellent communication skills, ready to contribute to a fast\-paced environment where organization and customer service are paramount. Looking for someone that has the heart for business and an appetite to learn. **Responsibilities** * Manage complex calendars, schedule appointments, meetings, and travel arrangements for executives * Manage multiple businesses and needs * Self\-motivated * Handle incoming calls using multi\-line phone systems with professionalism and courtesy, directing inquiries appropriately * Prepare and proofread correspondence, reports, presentations, and other documents with attention to detail * Maintain organized filing systems both digitally (using Google Workspace and Microsoft Office) and physically for easy retrieval of information * Work with overseas executive assistants * Coordinate internal and external communications to ensure timely responses and follow\-up on action items **Requirements** * Proven experience as an executive assistant or in a similar administrative role with project management responsibilities * Strong computer literacy including proficiency in AI , Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills * Excellent organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment * Experience with multi\-line phone systems, phone etiquette, proofreading, filing, calendar management, and customer support * Clerical experience including handling customer service inquiries at the front desk or as a dental or medical receptionist is preferred * Personal assistant experience or experience supporting senior executives * Knowledge of office equipment operation such as printers, scanners, and fax machines; familiarity with office procedures including time management and document proofreading Join us to be part of an energetic team that values proactive problem\-solving and exceptional organizational skills.
